Job Description

Office Location: Hybrid - remote/onsite in Burlington ON (travel required seasonally when choir is in Canada; travel may be required occasionally to Uganda for team meetings) Work Schedule: Monday to Friday (Start between 8 am and 9 am – finish between 4 pm and 5 pm) ** alternate/OT hours may be required at times when the choir is in country. Main Job Purpose To efficiently and creatively plan, organize, execute, manage and promote the annual Watoto Children’s Choir Tour in Canada Choir Coordinator Responsibilities · Assist in planning choir goals: product sales, offerings, and child sponsorship for in-country tours · Plan and execute in-country tours o Map an annual 4-to-6-month children’s choir tour based on past sales and records. Target new venues and geographic locations within Canada based on quantifiable research that proves a successful outcome o Generate bookings for 4-to-6-month Watoto Children’s Choir Tour (approximately 120 to 150 performances across Canada depending on the length of the tour) o Record updates/changes throughout tour’s, such as address changes, contacts, and start times o Work with churches to secure billets and hotel bookings for each night o Plan and implement a start of tour orientation for the choir o Arrange camps for start, middle and end of tour training or mid-tour breaks o Assist with all end-of-tour wrap up duties · Correspond with Choir Team Leader on a regular basis o Ensure all choir needs are met o Collaborate with Team Leader to reach sales and sponsorship targets · Communication with church and community partners in Canada o Establish new relationships with church and non-church partners o Maintain documents and record history of communication with churches and community partners by regular entries into excel files. o Prepare venues with all materials needed to run a successful production: > Supply all advertising materials > Create billeting and team accommodation lists > Inform our PR department of updates for media purpose o Follow up with churches and hosting partners after visit > Send thank you letters with sum of financial donation > Call and request feedback for improvement on recent visits · Management of merchandise/product (under direction of Operations Manager & Director of Finance) o Submit product orders to the international office to ensure adequate time for order completion o Order in country merchandise o Manage inventory: Track sales, profit margins, profit & loss forecast, etc. · Ensure choir is prepared prior to arrival in country o When requested, assist Country Director with hiring & managing Bus/Truck Driver(s) o Organize transportation for the choir and ensure all required licenses etc. are researched and obtained o Create and maintain in country manual for choir – financial procedures, sponsorship procedures o Purchase Choir clothing and supplies o Ensure stage equipment is functional and up to date o Organize medical insurance for the choir o Other tasks as required · Promoting/Maintaining school campaigns across Canada o Collaborate with Communications roles in Watoto Canada on successful marketing strategies, media promotions, and advertisements. o Maintain and manage a spreadsheet of media contacts and coverage. · Create and maintain the online choir schedule on the Watoto website for public awareness and information

Education Required

• Degree/Diploma preferred but not required

Experience Required

• Experience in customer relations would be beneficial • Excellent organizational skills with a focus on efficiency and accuracy • Proven experience using Microsoft Word, Excel, Power Point and online databases • Ability to communicate in French is an asset • Knowledge of Raiser’s Edge NXT an asset • Proven cross-cultural communication skills are an asset
