Job Description

The Data Systems and Donations Manager is a full-time position located in ERDO’s Canadian office in Mississauga. Reporting to the Director of Resource Development, the Data Systems and Donations Manager will utilize his/her strong finance and data systems skills to support the organization. Donation Processing and Receipting Management • Oversees staff to ensure the daily processing of all donations via mail, online, credit card, through PAOC transfers, etc. is timely and accurate • Produces customized Major Donor receipting • Distributes quarterly Church Acknowledgement communications • Works with consultant to create annual tax receipt data selections • Manages internal/external resources for electronic and print annual tax receipts Financial Reporting Management • Production of month-end financial reports and reconciliations for Finance • Assists staff to resolve any problems relating to donation postings, reconciliations, bank deposits, etc. • Assists in the preparation of materials for the annual audit Donor Records • Maintains the integrity of all donor and prospect data, ensuring the data is valid, complete and accurate • Imports/exports data files as needed, ensuring that data is consistent with existing RE data, duplicate records are not created, and all transfers are done securely • Runs queries on a regular basis to monitor for possible data errors, inconsistencies, etc. and notifies the necessary stakeholders Data Systems • Maintains all codes, table values and field definitions • Maintains the RE environment in order that it is clean and current • Ensures that the service agreement with the Information Technology department is followed • Ensures all new processes are tested and documented prior to use in production • Monitors Raiser’s Edge environment and ensures timely resolution by appropriate technical resource • Liaise with IT department to ensure that technology platform and environment is stable, secure and performing to maximum capability • Interface with external vendors on donor software issues and solve issues Data Security Management • Performs audits to ensure that all data transfers are done securely • Performs audits to ensure personal information (credit card, bank details, etc.) is managed according to current legal requirements Marketing Data • Oversees CEO Major Donor reporting process • Creates reports to support the management requirements of ERDO staff and management • Where Raiser’s Edge reports do not meet the requirements, arranges for the completion of Crystal reports and tests prior to releasing to users • Develops queries to support the needs of RE users and management • Develops and ensures adherence to a naming and/or query folder structure • Suggests and creates dashboards to support the needs of the ERDO management team Training / Documentation • Ensures all RE users are trained on the areas of Raiser’s Edge that are related to their job responsibilities • Communicates to staff in a timely manner of any changes to the RE environment • Creates documentation for any new procedures and standards and trains users on the changes • Maintains existing documentation to ensure it reflects current environment Customer Care • Answers escalated donation inquiries by phone, and passes information/actions onto appropriate people • Responds to, or delegates replies to the info@erdo website account donor and prospect inquiries Staff and Volunteer Management • Manages the workload and quality of work for one full-time Resource Development Assistant, seasonal contract gift entry staff and the data related activities of summer students and volunteers • Ensures scheduling of staff activities • Responsible for the coaching of direct reports • With input from the Director is responsible for the hiring and dismissal of direct reports as circumstances require

Required Skills

• Experience managing and motivating staff • Experienced in maintaining data in Raiser’s Edge or a similar database • Financial management and customer service skills • Knowledge of Accounting • Knowledge of PIPEDA and CRA requirements • Demonstrated computer skills and aptitude; fully conversant with the Microsoft suite of programs • Ability to make quality decisions within the scope of authority • Ability to take initiative, work quickly and accurately, and develop and implement improvements in work processes • Experience working effectively in a team environment

Education Required

College required University education preferred

Experience Required

• Prior experience in a Christian humanitarian charity environment • Experience with Financial Edge software • Bilingualism (French) • Familiarity with relief and development activities and principles of social justice
