The Church Administrator works closely with the Lead Pastor and manages and oversees all church communication, scheduling, and ensures that all administrative processes are done with excellence. This person supports, oversees, and executes the administrative and bookkeeping functions of City Centre Church and provides the necessary administrative support to the Lead Pastor and Lead Team. Provide support to the Lead Pastor which enables him to drive the vision, connect with leaders, and provide care for our community. Key Functions 1. Facilitate, support, and enhance the administrative functions of City Centre Church. 2. Provide the necessary administrative support for the Lead Pastor to carry out the vision of the church. Qualifications Staff members must evidence an on-going personal commitment to the Christian faith including church attendance, personal devotions and familiarity and harmonious acceptance with the Statement of Fundamental and Essential Truths of the Pentecostal Assemblies of Canada. It is expected that the employee will: a) Participate in shared Christian ministry to fellow staff and volunteers b) Participate in worship, ministry and in prayer c) Engage in Biblical counsel to those in our community in need The Church Administrator is a person of proven ability and experience in administrative work acceptable to the Lead Pastor. Education and Experience 1. Post-secondary diploma or certificate in a related field. 2. Five years’ experience in an administrative role. Skills 1. Excellent organizational, administrative, and management skills 2. Excellent written and oral communication skills 3. Strong computer skills, including word processing, data management, and proficiency in Excel and Word, Google Applications, and church management software in a Windows environment. 4. Experience with QuickBooks and bookkeeping is an asset 5. Excellent scheduling, research, and reporting skills; able to present information with quality and accuracy 6. Able to work independently and as part of a team 7. Handle and maintain confidential material and information 8. Commit to confidentiality of personal information of the congregation and staff. 9. Ability to take initiative and follow through with details. 10. Timely attendance with the ability to vary schedule when needed. 11. Must possess the desire to aid the Lead pastor in fulfilling his responsibilities and lighten his load whenever possible. Personal 1. Presents a pleasant, service-oriented manner in person and on the telephone. Appointment The Lead Pastor appoints the Church Administrator. Roles and Relationships Reports directly to the Lead Pastor and works collaboratively with the Lead Team and Volunteers. Primary Duties 1. Administration a. Office Support i. Initial point of communication for any inquiries made by phone, email, or text ii. Receive and sort mail iii. Provide administrative support to other pastoral staff iv. Manage and provide administrative support for events (i.e., Set Free, Elders meetings, etc.) v. Organize and maintain registrations for events (Set Free, Rooted, etc.) vi. Prepare all necessary meeting materials vii. Keep a record of Staff Minutes and make them available on Google Drive for review. viii. Schedule facility bookings ix. Purchase and manage all Church and office supplies including communion supplies, Connection Cards, offering supplies, coffee supplies, etc. x. Manage and maintain an organized office environment and filing systems. xi. Maintain the church calendar of events. xii. Update the City Centre Church website (i.e. calendar, podcast, staff pages, and forms). xiii. Maintain Staff Team vacation form xiv. Manage staff benefits plan b. Finance i. Communicate with bookkeeper ii. Organize Sunday offerings and make bank deposits iii. Ensure all bills are paid and up to date iv. Provide Treasurer with monthly finance charts, graphs, and reports v. Assist the treasurer by answering questions, gathering information, and providing documentation. c. Sunday Gatherings i. Compile Sunday Service outlines and email to scheduled volunteers, and print hard copies for Lead Host, A/V volunteer, and Worship Leader ii. Input attendance numbers into Church Metrics weekly iii. Maintain Planning Center (Church Management Database) d. Lead Team i. Maintain Church membership list ii. Print copies of Lead Team minutes and place in the binder 2. Communication a. Prepare and email weekly newsletter to subscribers and maintain the list of subscribers b. Respond to all inquiries made by phone, email, text, or social media within one business day c. Inform ministry leaders of new applicants and help people connect in person on Sundays 3. Website/Social Media a. Update the church website i.e.: calendar, banners, staff pages, and forms. Respond to web forms. b. Post special events on Facebook 4. Assist the Lead Pastor a. Serve as the gatekeeper to the Lead Pastor while ensuring people are helped/served in a professional and friendly manner. b. Manage appointment schedule for the Lead Pastor c. Review and/or draft the Lead Pastor’s correspondence and answer email/and or compose emails or letters as directed. d. Prepare quarterly communications to church membership e. Aid in preparation of meetings through the production of documents, handouts, reports, meals, reminders, etc., as requested by the Lead Pastor f. Record meeting minutes, when requested, and assist in ensuring meetings proceed in a professional and timely manner. g. Be the point of contact for staff and volunteers h. Be available Sunday mornings for general administrative assistance 5. Building Management a. Manage key holders and security codes b. Function as point of contact for landlord c. Handle all incoming booking requests d. Maintain bookings calendar with clear instructions on the event e. Prepare rental contract for event detailing time, cost, and any additional issues.
